Abstract
The Auxiliary Services Office oversaw offices and departments at Indiana University that were self-supporting and encompassed the Auditorium, Bookstore, Campus Bus Service, Campus Foods, Communications, Halls of Residence, Indiana Memorial Union Building (IMU), Motor Pool and Parking Operations. Over the years, Auxiliary Services had several name changes. Those reflected in the records of this collection include Auxiliary Services, Business Manager's Office, and Service Enterprises. Records in this collection include, but are not limited to, correspondence, committee files, departmental files, reports and budgets.

Administrative History

The Auxiliary Services Office, formerly known as Service Enterprises, oversaw all offices and departments on Indiana University that were self-supporting and operated independently of the state budget. From the 1940-1941 Report of Service Enterprises:

"The department of Service Enterprises was introduced for the first time in July, 1940, as a unit of the Comptroller's Office. Harold W. Jordan...was at this time appointed Director of Service Enterprises. This office coordinates the work of nine self supporting departments on campus (Indiana Union and Union Food Departments, Halls of Residence, University Printing Plant, Indiana Daily Student, Duplicating Department, Home Economics Practice House, and the University Bookstore and Auditorium). In addition to the work of these service departments, this office is responsible for the organization and planning of campus conferences and conventions."

Since its establishment in 1940, Auxiliary Services has had four Business Managers (early title was Director of Service Enterprises); Harold Jordan (circa 1942-1960), Donald Clark (circa 1959-1969), Theodore Jones (circa 1969-1984), and Gregg Floyd (circa 1985-2003).

Auxiliary Services has gone through several name changes since its creation and most recently was known as Auxiliary Services and Programs. Name changes and dates over the years include:

In addition to the various names changes, Auxiliary Services has had several adjustments in the departments it oversaw. Although many of the same departments remained functioning, changes in circumstances and needs of the University meant the extinction of several departments, such as the Home Economics Practice House and the Duplicating Department, and the creation of several others, such as the Motor Pool and Parking Operations. During this period, Auxiliary Enterprises encompassed the Auditorium, Bookstore, Campus Bus Service, Campus Foods, Communications, Halls of Residence, Indiana Memorial Union Building (IMU), Motor Pool, and Parking Operations, and the supervision of committees.

There is no longer a separate office for Auxiliary Services and Programs, though it is not clear when the office dissolved. At the time of this writing, all auxiliary units report to the Office of the Vice President and Chief Financial Officer.

Arrangement

Collection is organized into four sub-groups based on the incumbent in the position of Director of Auxiliary Enterprises. Each sub-group is organized into two series, based on the original arrangement of the records, Correspondence and Subject files.

Scope and Content Note

This collection contains records created by four incumbents of Auxiliary Services. These Business Managers or Directors were Harold Jordan (1942-1960), Donald Clark (1960-1969), Theodore Jones (1969-1984), and Gregg Floyd (1985-2003). Records are organized by incumbent and are further organized into two series, Correspondence and Subject files.

The Correspondence series are arranged alphabetically and consists of the incoming and outgoing correspondence of the business managers. Prominent correspondents include the assistant business manager and comptrollers and the university president. Correspondence that pertains to the specific departments under the authority of Auxiliary Enterprises can be found within the files on those departments in the Subject files series.

The Subject files series are arranged alphabetically for all incumbents with the exception of Harold Jordan. The Jordan files are arranged in the order in which the office originally organized the records, which is by fiscal year (i.e. 1950-1951 or 1951-1952) and then within each fiscal year the records are arranged alphabetically, with the exception of auditorium productions. Auditorium productions are arranged chronologically by the date in which they were presented. Correspondence that might be of interest in this series include materials on the efforts of the various Auxiliary Services departments during World War II, a signed contract from Maurice Evans from the production of Man and Superman, and materials relating to Metropolitan Opera productions at the Auditorium.

The Subject files series in the other three sub-groups is arranged alphabetically by folder title and consists of a wide variety of materials, including files on each department under Auxiliary Services and a wide variety of committees. Changes in the needs of the University saw changes occur in departments several times after the tenure of Harold Jordan. Several departments became extinct, while other departments were added. Departments such as the Printing Plant and Duplication Department were outsourced and curriculum changes eliminated the Practice House program, while departments such as Motor Pool, Communications, and Campus Bus were added to the responsibilities of Auxiliary Services. These changes can be seen in the materials that are available for each of the Business Managers' tenures. Additionally, while all of the materials in the Subject series for Donald Clark, Theodore Jones, and Gregg Floyd are arranged in the same manner, there are several areas that can be highlighted for each incumbent.

The majority of the records found under the tenure of Donald Clark relate to the Bloomington campus, although there are significant quantities of records relating to the regional campuses and the Medical Center which is located on the Indianapolis campus. Donald Clark held both the positions of Business Manager and Vice President and Treasurer during the majority of his tenure. Several functions of both positions overlapped significantly and as a result there are several files that relate to the position of Vice President and Treasurer interfiled with those of the Business Manager, specifically those relating to the legislature.

Significant materials that can be found under the tenure of Theodore Jones include records relating to pollution and environmental issues and the budget. It is in this sub-group that the majority of materials relating to committees can be found. The tenure of Gregg Floyd contains a wide variety of materials that document communications, systems development, and telecommunications.

It is to be noted that several folders may overlap tenures, and files that relate more to a specific tenure were filed under that tenure.

Note: A letter in the folder Director of Service Enterprises, Halls of Residence Committee, 1943-1944 was misfiled during an exhibit in January 2010. A copy of the letter has been placed in the folder. The original has been misfiled in the collection.

Separated Material

Duplicates of Indiana University publications have been transferred to the Archives publications collection. Personal files of Harold Jordan have been removed.

Duplicates, monthly financial records from the Indiana Union and Union Food Departments, Halls of Residence, University Printing Plant, Indiana Daily Student, Duplicating Department, and the University Bookstore and Auditorium, mail logs from 1975-1978, and requisition orders have been discarded. Payroll records have been destroyed. Materials pertaining to unsuccessful applicants for various position searches in the 1980s have been destroyed. Personal files of Harold Jordan have been removed for processing as a separate manuscript group.
